Visa Legal aims to provide all its clients with the highest standards of service and client care. If we fail to provide this to you, we need you to inform us so we can try to resolve any problems. Visa Legal will always provide you with an opportunity to tell us about your concerns and will work with you to try to resolve them.
If you are not satisfied with any aspect of our service, you may initially want to discuss this with your adviser, to see if the matter can be resolved quickly. If you have spoken to your adviser or if you do not wish to discuss your concerns with them, you may wish to make a formal complaint.
You can make your complaint either verbally or in writing to Eunice Mukwa, who is the Compliance Officer at Visa Legal. Eunice Mukwa will investigate the matter promptly and carefully and provide a written response.
Collecting personal data
Visa Legal collect all forms of personal data which is required to effectively provide requested or contracted legal services or pursuant to statutory obligations and therefore may include, but not be limited to:
g. Criminal record;
h. Immigration status.
Accessing personal data
Access to clients’ personal data kept by Visa Legal is at all times restricted only to current employees and may be made from our office in London as well as remotely from other locations.
Access to clients’ personal data kept by Visa Legal is restricted only for the purposes of providing requested legal services and other statutory purposes. Visa Legal provide current clients access to their personal data and a copy thereof, free of charge, while their case is pending. Clients’ are permitted to update their personal data at any time via email, [email protected], telephone, +44 20 7732 5457, post or at our office.
Visa Legal use collected personal data in the course of providing requested legal services for the following purposes, but not limited to:
a. Verifying their authenticity;
b. Conducting required anti-money-laundering checks;
c. Communicating with clients and other interested parties;
d. Preparing legal documentation;
e. Seeking advice from 3rd parties;
f. Responding to complaints.
Storing personal data
Visa Legal store clients’ personal data securely on their computers and an online cloud. A hard copy of clients’ personal data is stored at Visa Legal office premises and an additional storage location.
Sharing personal data
Visa Legal may share clients’ personal data with 3rd parties only where it is required to effectively provide legal services or pursuant to statutory obligation. We may provide clients’ personal data but not limited to:
a. HM Courts & Tribunals;
b. The Home Office, UKVI
c. HM Revenue and Customs (HMRC);
d. Solicitors Regulation Authority (SRA);
e. External auditors;
f. Legal counsels;
g. Other parties to legal proceedings.
Visa Legal do not share clients’ personal data with 3rd parties for marketing purposes.
Disposal of personal data
Visa Legal return all of clients’ original documentation upon the closure of each file.
Visa Legal store clients’ personal data for a period of 6 years after the closure of each file according to the requirements imposed by the OISC. Former clients’ may obtain, within 7 days of making a request, a copy of their personal data anytime during a period of 6 years after the closure of each file, in exchange for an administrative fee.
Visa Legal may transfer a copy of former clients’ personal data after the closure of their file to other organisations where such a transfer is requested on behalf of such former clients by their legal representative.
Visa Legal delete all personal data of all former clients after 6 years of the closure of each file.
